Communication is a key. Tailoring the appearance, content, and other details of your emails can significantly enhance ambassadors engagement and your brand consistency. In this article, we'll walk you through the simple ways to customize styles, text etc. of emails we send to your ambassadors, empowering you to create a seamless and personalized communication. Let's dive in!
To access the custom emails feature for your brand, go to Program -> Communication.
Step 1: Mailbox data
Instead of using Spitche solution for sending emails you can integrate your own email service by adding your particular account. Click a toggle button into "Custom mailbox data" in order to set integration. You will see the list of fields you should fill out to create proper integration. Contact your system administrator in case you need an additional assistance for filling out the fields.
- Name (mail from) - Name of sender. By default field is filled with you brand name, but you can add here anything you want.
- SMTP address - It is a TCP/IP protocol used in sending and receiving email, e.g. if you have a Gmail email client you need to fill out this field with "smtp.gmail.com".
- Username - Usually it is an email address through which emails are sent.
- Port - In networking, a port is a virtual location within a computer. SMTP should use port 587 — this is the port for encrypted email transmissions. By default this field is filled with 587.
- Password - Your email service password. We securely store this information. You need to enter a password only once during setup.
As soon as you finish setting up, send a sample email to check whether all the settings are correct, and emails are sent through your email service. Refer to step 6 to check instructions.
NB! Keep your custom mailbox actual. In case we cannot send emails to your ambassador anymore due to incorrect settings we notify you immediately by email and by showing a red notification banner inside your Spitche account.
You need to fix your settings or switch to Spitche sending solution to get your emails running again.
Step 2: Cover image
- Upload a cover picture which will be displayed at the top of each emails are sent to ambassadors. It is a general setting for now.
- Your cover picture must be uploaded in .JPG, .JPEG or .PNG format
- Recommended size: 1016x320px
You can check how your cover image will look in emails in Email preview on the right side of the page right after uploading the file.
Step 3: Button design
- Apply your own button background colour and button text colour. Use a palette to choose the colour or enter a colour HEX / RGB.
- Button font will be from email body settings.
- It is a general setting for now. All emails will have the same button design.
You can check how your button design settings will look in emails in Email preview on the right side of the page right after changing styles.
Step 4: Emails footer
- Add information which will be shown in the footer (in the bottom) of each email. Usually, it is a general information such as: address, contacts, website link, social media etc.
- Moreover, you can use our dynamic data: your contact email or brand name which will be populated from appropriate fields filled in Brand info settings. They will be shown in square brackets. Do not remove brackets so that we will identify dynamic content and fill it.
- Use an editor to add your personal styles for text: font, size, appearance, links.

- It is a general setting for now. All emails will have the same button design.

Step 5: Emails body
- To see and change an email body select needed email from the list. At the moment you can edit the following emails to your ambassadors: email confirmation, welcome email, restore password, reward redeemed, request permission to share UGC, refresh Facebook access (2 emails), campaign notification.
- Review and update the default email subject, button name and text Spitche is using if you don't make changes.
- Use an editor to add your personal styles for text: font, size, appearance, links.
- Check out these instructions in step 4 how to create a link inside a text.
- Moreover, you can use our dynamic data, e.g. ambassador name, reward name etc. Values will be populated from appropriate fields, so that each ambassador will receive appropriate information.
Dynamic data will be shown in square brackets. Do not remove brackets so that we will identify dynamic content and fill it accordingly.
NB! An email type "Request permission to share UGC" will be available if you have your Instagram page connected to Spitche account, "Campaign notification" - if a Campaigns feature is available for your plan.

Step 6: Send sample email and save changes
- As soon as you make changes to specific email look at the Email Preview (the right side of the page) to see how your email will look. Every change is appeared immediately in the preview.
- If you see any red text in the Email Preview it means some errors with dynamic data happened and we can't populate needed info. Please resolve all errors before saving changes.
- Pay attention that some dynamic data variables (e.g. campaign_name) will be filled in Preview with test data in order to show how it looks like. In real emails variables will be filled with appropriate data from specific campaign / reward etc.
- Send a sample email to check all settings and styles.
- NB! Save all changes before leaving the page to apply all customization you made.
